General Data Protection Regulations

On May 28th 2018 a new set of Data Protection regulations will come into force. This will affect how the club stores and uses your personal information. Personal Information includes name, address, telephone number, email address, date of birth etc. We have one main use for this data:- to enable “The Record” and other club items e.g. AGM papers to be sent out.
In addition we are required to send name and addresses to the BCA for our caving insurance. Also the FCA (Financial Conduct Authority) require us to send details of our shareholders – that’s all of you members!!
These uses are necessary to run the club and carry out our legal obligations.

In addition we also make available a membership list and compile the “Rogues Gallery” of notable miscreants. These last uses now require us to have your active permission to include your details in them. In the past this permission was assumed but in future it must be actively given. This shouldn’t be an onerous task, accessing the online membership list on the website should be sufficient for members to give/withdraw this permission, or if you’ve definitively forgotten your password, an email or letter to the Secretary or IT Guru will have the same effect.
We also run an email list to keep members in touch – every email from the list contains a link to allow members to unsubscribe from it.

We are required to make a statement of our Privacy Policy on our website. The current version of that is on the home page in the "footer" section.

To summarise:- we would like you to give/withdraw your consent for
    1. (Personal Data) - sharing your personal data with other members i.e. the membership list.
    2. (Historic Data) - sharing historic data (name, date of joining, date of leaving) for the “Rogues Gallery”.
    3. (BCA Data) – sharing your gender/email address with the BCA.
To attempt to maintain consistency with current practice the Personal Data consent is set to ‘YES’, Historic Data consent to ‘YES’ and BCA Data consent to ‘NO’.
Changing your consents can be done either by an email to the secretary or by logging onto the website membership list and setting your preferences there.

Information we collect about you

The CPC collects data from its members in an online database on the cravenpotholeclub.org website. This data may have been entered into the membership application form or voluntarily by you into the membership database.

How we store your information

The CPC takes all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.
Where we have given you (or where you have chosen) a password which enables you to access certain parts of the site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

How we use your information

The CPC will only use personal information to provide you with services relating to the CPC, primarily distribution of the club magazine “The Record” and other club related matters.
Your data is stored securely on UK based servers.
For insurance purposes some of your data (BCA number, name, address, year of birth, gender) is shared with the British Caving Association (BCA). If you consent to share your email address with the BCA to aid in their processes please give the appropriate consent.
As CPC shareholders your data is shared with the Financial Conduct Authority (FCA).
Personal information will not be passed to other third parties.

Children

Children aged 16 or under wishing to provide personal details to the CPC should get their parent/guardian's permission to do so.

Your rights

All your personal data held by us is available to view/amend on our website. You will have been notified of your username and password on joining the organisation. You will have been asked for your consent/non-consent on the membership form to share.

Your consent for sharing Personal/Historic/BCA Data may be changed at any time by accessing your personal data on the website and giving/withdrawing your consents. Withdrawing consent for your Personal Data will make that data only accessible by the Officers of the club for the legitimate purposes described above. Every email from the distribution list contains a link to allow members to unsubscribe from it.
On leaving the club your personal data will be deleted at the end of the financial year of your departure. If you have consented, your historic data will be retained.
If you think we have misused your personal data you may complain to the Information Commissioner's Office (ico.org.uk)

CHILD PROTECTION POLICY

1.00 THE LEGAL FRAMEWORK

1.01 Craven Pothole Cub Ltd recognises the requirements of the Protection of Children Act 1999 (PoCA).

1.02 PoCA includes "children", that is under 16s’ and "young persons", that is young people recognised as children under the act, (further referred to here with equal meaning as "young persons" or “children").

1.03 PoCA takes in sexual, emotional and physical abuse and also "neglect" (which includes all aspects of failure to ensure the safety of a young persons and vulnerable adults).

2.00 POLICY STATEMENTS

2.01 Craven Pothole Club Ltd recognises the importance of the welfare of young persons and vulnerable adults and their right to protection from abuse as set out in section 1.00 of this document.

2.02 Craven Pothole Club Ltd recognises its duty of care to young persons and vulnerable adults, for the actions of its trustees, officers & agents.

2.03 Craven Pothole Club Ltd will take all allegations of child abuse seriously and will respond to such allegations quickly.

2.04 Craven Pothole Club Ltd considers that in any caving or mine exploration activity safety of the participants and conservation of the cave is of paramount concern at all times.

2.05 Underlying this it must be borne in mind that Craven Pothole Club Ltd does not proactively promote the participation of young persons or vulnerable adults in caving or mine exploration. It takes this stance for a number of reasons:

  1. caving can often be a strenuous activity requiring a mature physical and mental approach
  2. a working knowledge of weather patterns & limestone hydrology can be vital for safe caving
  3. caves are a strictly limited physical resource that deserve a mature appreciation of their conservation requirements.
